Where we start

A good event starts with its purpose.

An online event rarely stands on its own. It is one step in a bigger story: a strategy that needs support, a team that has to find each other, residents who want to be heard.

That is why we start with what should be different afterwards. In content, and in the relationship with the people taking part. Only then do we choose the format, the methods and the platform.

Our approach

From first conversation to last participant.

Three things decide whether an online event works. We take care of all three, or exactly the part you need.

01

Connecting to your goal

What should the gathering achieve? Together we look for the question behind the question and turn it into a programme with a clear line.

  • Intake and setting goals
  • Programme and meeting strategy
  • Choice of format and platform
  • Run of show down to the minute

02

An experience that fits your people

Who is coming, what do they already know and what should they take home? We design the journey from invitation to close, with methods that suit your group.

  • Meeting design and methods
  • Setting up the online space
  • Speaker briefing and presentation design
  • Invitation, guide and test meeting
  • Dress rehearsal

03

Taking care of things on the day

On the day itself we are right beside you. We catch hiccups before anyone notices, so your hands are free for your guests.

  • Welcoming and onboarding participants
  • Host, co-host and facilitator
  • Tech, screen sharing and breakouts
  • Voting, whiteboards and interaction
  • Help for participants by phone and chat

“MeetingMasters guided us through the whole process without a worry: from setting the goals and sharpening the content right through to running it live.”

On the day

Calm on your side of the screen.

Good preparation is half the work. The other half is switching fast when things go differently: a speaker without sound, a participant who can't get in, a breakout that runs over.

Our Meeting Masters are trained for exactly that, and as a team we have supported 200+ events. You will hardly notice. That is the whole idea.

Frequently asked questions about online event support

What does it cost to have an online event organised?

That depends on the size of the group, the length, the number of roles on the day and how much design is needed beforehand. After a short introductory call you receive a proposal with a clear breakdown of the price. You can request a first estimate on the quote page.

Can you provide support on the day only?

Only with a minimum of preparation. If your programme is already in place, we approve and specify the design together, brief the Meeting Masters and run a short test. Without those steps we can't offer the calm on the day that you may expect from us.

Do you work in our own Teams or Zoom?

Yes. We work in Microsoft Teams, Zoom, Zoom Events and SpatialChat, and fit in with the environment and agreements within your organisation. Sometimes we recommend a different platform, because a particular method works better there.

What does a Meeting Master do during the event?

That depends on the role. A host welcomes participants and keeps the space hospitable, a tech host runs the platform and the breakouts, a facilitator guides the methods and support helps participants who get stuck. For each event we decide together which roles are needed.

How far ahead should I involve you?

Four to six weeks is enough. Shorter is possible too, depending on the kind of gathering. But good preparation always pays off: the earlier we think along about goals and set-up, the calmer the day itself.

Can an online event also be hybrid?

Yes. Then part of the group is in the room and part is online. That calls for extra attention to picture, sound and the online group, so they don't just watch. We design the gathering so that both groups take part fully.

For how many participants do you organise an online event?

Usually for groups of 50 to 500 people. Smaller or larger works too: the design and the number of Meeting Masters scale with the group.
